More support for the people who show up.

Your agency needs more than another spreadsheet nobody owns. Self Entourage builds practical recruitment, onboarding, training-administration and operational systems around the people, tools and time you actually have.

Scope an editable kit or a custom build. Designed for volunteer rescue squads, fire/EMS departments, combination agencies, rural services, nonprofit teams, campus programs and event-response organizations—with agency leadership in control.

We support the organization behind the response. This is not volunteer placement, emergency dispatch, medical staffing or independent patient care. “Volunteer” describes the agencies and teams we support; project fees and any donated work are agreed separately in writing.

One agency. Several ways to help.

Recruit with a real next step

Build clear role descriptions, a welcoming information page, an inquiry-to-orientation workflow and follow-up drafts. Separate clinical roles from support roles so interested people can understand where they may fit.

Give new members a clear start

Create a welcome packet, orientation checklist, mentor handoff and review points. Name the person responsible for each step instead of leaving new members to chase answers.

Make training easier to organize

Bring calendars, instructor briefs, attendance records, document links and follow-up tasks into one understandable administrative workflow. Agency-approved instructors and authorized leadership retain all competency and clinical decisions.

Keep routine work from disappearing

Organize availability requests, administrative handoffs, equipment-record follow-ups, document reviews and recurring tasks. A planner supports coordination; it does not confirm a qualified crew or replace dispatch.

Generic editable starter templates

Start with one workflow.

Download seven nonclinical planning templates and a readme covering workflow briefs, recruitment, onboarding, training administration, availability, document records and board reporting. These are editable Markdown text files, not a connected app or a configured agency system.

Replace the prompts, obtain agency review and test with fictional information before use. Keep completed records in an agency-approved location. Do not include patient information, clinical records, passwords or sensitive incident details.

Version 1.0 · October 26, 2026 · 8 files. Custom configuration, integrations and ongoing services require a separate written scope. The templates do not certify competence, staffing, equipment readiness or compliance.

Practical kits. Clear deliverables.

Scope a set of editable, nonclinical working templates. A configured implementation, integration or ongoing service is included only when stated in the written scope. No new software subscription is assumed.

Volunteer Recruitment & Onboarding Kit

Turn interest into an organized next step. Includes a role-description builder, recruitment-page copy, inquiry workflow, follow-up drafts, orientation checklist, mentor check-ins and an agency-owned approval map.

Best for: Volunteer, combination, nonprofit and campus teams building or improving a member pathway.

Scope this kit

Training Administration Kit

Keep the organizational work around training visible. Includes a planning calendar, session brief, attendance template, instructor-resource index, feedback prompts and follow-up action log.

Best for: Training officers and educators coordinating recurring sessions across shifts or locations.

This kit does not award continuing-education credit, issue certification cards or establish clinical competence.

Scope this kit

Availability & Handoff Planner

Make requests, responses and unresolved gaps easier to see. Includes an availability-request template, confirmation states, coordinator review checklist, open-task handoff and backup-owner map.

Best for: Teams managing volunteers, rotating members, multiple locations or event schedules.

Availability is not authorization to work. The agency confirms qualifications, staffing and final assignments in its approved systems.

Scope this kit

Equipment & Document Control Kit

Give routine records a home and an owner. Includes an equipment-record index, inspection follow-up log, document register, version history, review-date schedule and corrective-action template.

Best for: Agencies replacing scattered files, informal reminders or unclear ownership.

Administrative records do not certify equipment safety, vehicle readiness or regulatory compliance. Qualified agency personnel perform required checks and make release decisions.

Scope this kit

Board & Community Reporting Kit

Explain the work without overstating the results. Includes a monthly board-update template, source-linked metric definitions, project and resource request briefs, community-update drafts and a grant-evidence organizer.

Best for: Nonprofit agencies, volunteer boards and leaders who need clear reporting and reusable communication materials.

No funding, grant eligibility, donation result or award is promised. Applications and public communications remain subject to agency approval.

Scope this kit

Agency Workflow Build

Scope a nonclinical workflow around an agency-approved toolset: requirements, templates, a prototype using synthetic data, owner instructions, human-review checkpoints, testing and handoff.

Best for: An agency with a defined administrative bottleneck and an accountable project owner.

Automation and AI support drafting and organization—not clinical decision-making, automatic credential approval or unsupervised dispatch. Integrations and access require separate review before implementation.

Discuss a custom build

Built around your agency.

  • Volunteer rescue and ambulance squads: Member inquiries, orientation, mentor check-ins and board reporting.
  • Fire/EMS and combination departments: Role-specific pathways, shared training administration and handoffs across volunteer and paid personnel.
  • Rural and small agencies: Straightforward tools, printable fallbacks, clear ownership and fewer places to look for the current document.
  • Municipal, private and nonprofit EMS organizations: Administrative onboarding, document control and repeatable internal workflows.
  • Campus and event-response organizations: Member administration, event preparation records and communication planning, with clinical coverage arranged by the authorized organization.
  • Community preparedness and adjacent public-service teams: Volunteer administration, resource coordination and training logistics within each organization’s remit. No EMS authority is implied.

Start small. Leave with something usable.

  1. Map the need. Tell us the agency type, jurisdiction, team size, current tools, decision owner and workflow that needs attention.
  2. Define the work. Agree deliverables, exclusions, responsibilities, fees and acceptance criteria in writing.
  3. Build and review. Use templates or a prototype with fictional information first. The agency reviews local requirements and any consequential decisions.
  4. Test and hand off. Walk through the workflow, resolve open items and leave named owners, instructions and editable source files.

Common questions

Do you supply volunteers, crews or medical coverage?

No. This service helps agencies organize their nonclinical work. It does not recruit or dispatch personnel on the agency’s behalf, supply a staffed ambulance or provide independent medical coverage. Required clinical services must be arranged separately with an appropriately authorized provider.

Is this only for volunteer agencies?

No. The same administrative building blocks can be adapted for volunteer, paid, combination and nonprofit organizations. The work is scoped to the agency and its actual responsibilities.

Does “volunteer” mean the service is free?

No. It describes the team or organization being supported. Fees, travel and any donated or reduced-fee work require written agreement; no free-service commitment is implied.

Can you use our existing tools?

We can assess a workflow around the tools you already use. Compatibility, integrations, permissions and any additional costs are checked before they are included in a scope. No connection or migration is implied by an inquiry.

Will this certify our staff or make us compliant?

No. Templates and administrative systems do not confer certification, clinical authority or regulatory approval. Your authorized leaders, instructors and advisers make those determinations.

What should we send first?

Send a short description of the workflow, the agency type and the outcome you need. Do not send patient information, clinical records, background-check documents, health information, passwords or sensitive incident/security details through public intake. Approved handling arrangements must be established before any protected or sensitive data is exchanged.

Current service boundary

Field experience. Clearly defined authority.

Current services are education, emergency readiness and nonclinical operational systems. They do not include independent patient assessment, diagnosis, treatment, medication administration, clinical monitoring, medical clearance, medical transport or paramedic medical coverage. Required clinical staffing must be arranged separately with an appropriately authorized provider. First-aid services are on hold; we are not accepting requests for this service. For an emergency, call 911. Training does not expand professional scope of practice. Certification cards or continuing-education credit are included only when the applicable awarding authority and instructor authorization are expressly identified in the written engagement.

Give the work an owner. Give the team a usable system.

Bring one bottleneck. We will define a practical next step and a scope you can evaluate before work begins.
